Letter to Parents -- June 26, 2020

Dear Immaculata Families, June 26, 2020


I would like to congratulate all students and families on a successful but very challenging year.  I hope that everyone has a well deserved healthy summer vacation. 


A special congratulations to the Graduation Class of 2020.  We wish you the best of luck in your future and we look forward to seeing you at the pending Fall Graduation ceremony.  The Graduating class had a special presentation on Thursday which announced all the Award winners.  Award recipients can pick up their scholarship cheques on June 30th from 9-11 and all graduating students can pick up their transcripts at this time.  Diplomas are not available in the province at this time.  We would ask that all  graduates fill out this questionnaire to gather information for the pending Fall Graduation.  All records and school emails will be active until the end of October.


The report card will be available electronically through a parent portal and you should be able to view the report cards now.  Please email parentportal@ocsb.ca if you need support.  There is also a website for  https://www.ocsb.ca/parentportal/ for other troubleshooting support.  We understand that there are some technical issues right now with the Parent Portal so your patience is greatly appreciated.


We had our Grade 7&8 Athletic Presentation and our Grade 7&8 Academic Award Presentation this week.  Special congratulations to all award winners -- the staff at Immaculata are very proud of all of you.


Student registrations and summer school registrations  can be accessed online through the  school website on the left hand side. Please pass this information to any family who is seeking to register at the school.  In regards to transportation for next year, parents can register for email notifications through the OSTA Parent Web Portal.  Please email Immaculata.High@ocsb.ca if you need to contact the school.  There will be more information over the summer from the school board on school reentry for the following school year.


There are some programs available for parents and students during the summer.  Students can register for virtual stress lessons.  There will be in-person optional transition sessions for students entering grade 7.  Here are some family resources available for families over the summer.

Report Card Distribution via Parent Portal

Dear Parents/Guardians, 


The Report Card will be delivered digitally via the new Parent Portal.  The school board has been in development of the portal for some time and it will be launched concurrently with Report Card distribution. The Parent Portal access will be via desktop or mobile device. In order to access the portal, parents will need to register by creating an account. The school board is currently collecting email addresses at https://www.ocsb.ca/parentportal/

The registration will require you to provide your email address, first name, last name, address number only, and youngest student birth date.  A password will then be created and a verification email will be sent to you. You will be able to access your account via an application or a website. When you click on your child’s name, the report card will be linked for viewing.

It is really important that you register for the parent portal. If you require assistance/support while creating your account, the school board will be providing a dedicated phone number, email, and form, to support parents struggling with account creation. There will also be How to Videos on a dedicated support website and a youtube channel to assist.  The dedicated help support will be live until July 3rd and will restart prior to the new school year.

Dear Immaculata Families,


Immaculata hosted a Virtual Live Athletic Awards Presentation last week.  Congratulations to all winners and participants.  I would like to thank the members of the Athletic Council for organizing the event.

We will be having our Virtual 7&8 Athletic Awards Presentation on June 24th and our 7&8 Academic Awards Presentations on June 25th.  We will also be having our Virtual Grad Award Presentation sent out on June 25th.  All these presentations are not live and can be viewed at any time by our students.


Grade 12 students are asked to fill out a questionnaire that has been sent to all Grads to gather information about their contact information for next year in order to help organize the pending Fall Graduation.  Diplomas will not be issued at this time in the province of Ontario.  Students may ask for a transcript upon request to be used for the purposes of applications to Universities & Colleges.  Grade 12 students are asked to drop off any items at the school (chromebooks, used uniforms, instruments, etc) on June 25th between 11am and 1pm.  Graduates can also take pictures with the banner on the Echo side of the school while maintaining social distancing.


The report card will be available electronically through a parent portal.  Instructions have been provided by the school board on how to access this information and how to receive assistance.  There have been some technical issues due to the amount of sign-ups happening simultaneously.

Next week will be the last week of school.  Grade 7&8 students will have a special virtual performance from Shanti (Peace) by Sonia St-Michel on June 22 at 11am.  Students have the ability to accumulate community service hours for High School if they have volunteered during this time.

School Item Drop-off - Thurs, June 25

Students who have any school items to return may do so THURSDAY, JUNE 25th from 11am-1pm. If students are returning to Immaculata in September, they may keep these items until that time. Grade 12 students are asked to drop these items off Thursday, however.

Locker Clean Out - Thurs, June 18th

Last chance for Locker Clean Out is Thursday, June 18th from 10am - 1pm


Please come and collect your personal belongings from the school. Also, if you have textbooks, chromebooks, uniforms, sports jerseys, or internet sticks to drop off, we will be there to receive them. Yearbooks are also available to students for pick-up if you previously ordered them.

Dear Immaculata Families, June 12, 2020



It was nice to see our students in person this week during our successful student access plan and we would like to thank all students and parents for their cooperation.  There will be an opportunity on June 16th to book appointments for students who were not able to attend their previous allocated time.  The last opportunity for students to retrieve their personal items will be on June 18th from 10am to 1pm without an appointment.  It would be preferable to book appointments on the 16th to alleviate long wait times on the 18th.  Please return books, instruments, sport & school uniforms and electronic devices (if you are not returning to Immaculata next year).  All OPH guidelines and protocols will be adhered to during school entry.


A Virtual Grad Award Presentation will be sent out on June 25th to our Immaculata Grads.  You will notice that the school has a banner on the Echo side to celebrate our Grads.  Please keep social distancing measures if you plan on taking a photo.  A questionnaire has been sent to all Grads to gather information about their contact information for next year in order to help organize the pending Fall Graduation.


There will be a Live High School Athletic Presentation on Instagram (Immaculata_ac) for students on June 17th at 2pm to celebrate the achievements and accomplishments of our High School student athletes.  There will be a 7&8 Virtual Academic Awards Presentation and a 7&8 Virtual Athletic Awards Presentation on June 24th.

Last Chance for Locker Clean Out 

OPTION 1: Tuesday, June 16th - by appointment ONLY. 

This is the best way to ensure you are not waiting in line. It is important that you are ON TIME for your scheduled appointment.

You will be able to schedule appointments starting today, Thursday, June 11th at 6:00 pm.


Instructions

1. Go to the scheduling webpage at https://immaculata.parentinterview.com/  

2. Enter the Access Code (printed below) and click "Sign In"

     Please make a note of your Confirmation #

3. Fill in your contact information and click "Continue to Make Appointments"

4. Click on "Appointments for Personal Belongings Collection"

5. Click on "Available" for a time at which you wish to attend the school

6. Click on "My Schedule" (top left of the page)

7. Print out, email or copy down your appointment time


The Access Code for this term is ottawa20

OPTION 2: Thursday, June 18th - Anytime between 10am - 1pm 

If you are unable to book an appointment for Tuesday, Thursday is also available. However, as we are not booking appointments, you may need to wait in line since we are allowed a limited number of people in the school at once.

Dear Immaculata Families, June 5, 2020


We will continue to pray for everyone who has been affected by the wrongful death of George Floyd and we hope that everyone remains safe in the peaceful protest in downtown Ottawa today.  We must always stand together against racism and hatred of any kind.


Our Immaculata Grads received a special treat today as staff members delivered cupcakes to all of our graduates.  Today was supposed to be our Prom and we want our Grads to know that they are constantly in our thoughts during the school closure.  Keep working hard during these challenging times.


The grade 7&8 students continue to work on their weekly work plans that are sent every Monday morning.  High School students continue to work towards their credits to improve their marks which will better prepare them for the following year.

A protocol has been established to have limited access to students to clean out their lockers, return items and retrieve their yearbook (if purchased).  The plan will ensure social distancing measures are in place as the safety of the students and staff are our main concern.  The protocol must be followed and any individual who does not meet the OPH/school guidelines will not be permitted to enter the school.  An administrator will ask every individual questions on this protocol and will deny access if responses are not adequate for safety reasons.  The first phase of school entry will consist of having a schedule (June 8-12) based on Last Name -- Alphabetical Order.  This will be a long process to ensure that safety guidelines are met.  


Students who access the building will be able to drop off their textbooks, sports uniforms, used school uniforms and musical instruments.  Electronic devices such as chromebooks are to be collected if the student is not remaining at the school for the following year or if they are no longer in need of the device for their studies.  Students are asked to remember their locker combination and the location of their locker.
